Job Highlights

Responsibilities

  • Providing secretarial and administrative support to the team
  • Respond to calls, emails, and routine letters; direct inquiries to the appropriate person
  • Manage schedules and calendars for the team including arrange, coordinate, and schedule internal and external meetings; prepare documents and arrange meeting rooms and facilities
  • Prepare payment vouchers into accounting system as per procedures
  • Prepare and reconcile expenses claim report
  • Make travel bookings and arrangements when required
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Coordinate conferences; complete conference registrations for the team member
  • Organize and update databases effectively
  • Track inventory of office supplies and place appropriate orders
  • Sort and distribute incoming mail
  • Arrange courier delivers
  • Assisting other secretaries when necessary
  • Assisting secretary and the team when necessary
  • Fulfill other ad hoc duties as needed

Requirements

  • Diploma or above
  • Minimum 3 years’ secretarial or administration support experience
  • Good team player with excellent communication and interpersonal skills
  • Proficiency in MS Application including MS Word, Excel, Chinese Word-processing
  • Proficiency in English, Cantonese and Mandarin
