Responsibilities

  • Maintain the calendar for the assigned executive; screen calls, meetings and activities to prioritize all requests and line up appointments
  • Gather information and compile necessary documents pertaining to the arranged appointments and involved parties to provide the executive with a background brief
  • Complete different kinds of forms in accordance with company procedures, coordinate various administrative matters for the department
  • Take initiative to work on improving administrative efficiency for the team
  • Arrange meetings, travel itinerary and accommodation, provide logistics support to ensure smooth running of the executive’s travel arrangements
  • Verify business and personal invoices for submission of reimbursements and expense claims
  • Support and coordinate the operations of the department and team
  • Perform any ad hoc responsibilities as assigned by the executive

Requirements

  • Degree holder
  • Minimum 8–10 years of experience in providing executive assistance to management of sizable corporate
  • Flexible, multi-tasking, good problem-solving skills
  • Pleasant and mature with excellent communication and interpersonal skills
  • Able to handle assigned tasks independently and professionally
  • Able to work under pressure and meet tight schedules
  • Excellent command of both written and spoken English & Chinese
